The Process and live itinerary

We start with a preliminary proposal that includes at least three carefully selected accommodation options per destination. Each option is chosen for value, comfort, and convenience, ensuring you get exactly what you need without paying for extras you don’t.

Our recommendations combine top ratings across multiple platforms with our personal on-the-ground experience, ensuring the best possible selection for your trip. Your finalized choices are delivered in a live, interactive itinerary with all booking details clearly listed and updated in real time—perfect for multi-destination trips.

Once you select an option, timely confirmation is important to secure rates, as travel pricing is dynamic and can change quickly.

A Note on Pricing

Hotel prices in Japan can shift more than people expect, and there are a few important factors to keep in mind as you compare across platforms:

1. Timing matters. Once we share a hotel quote with you, the rate is only valid for a short time. If responses are delayed, the price may change before we can lock it in.

2. Refundable vs. non-refundable. Flexible, refundable bookings will always cost more than the cheapest non-refundable options you might see online.

3. Taxes and fees. All of our quotes include mandatory charges—like service fees, local taxes, and onsen tax (required in some hot spring towns). The price you see is the price you pay.

4. Extra guests. Adding more people to a room, or requesting a rollaway bed, almost always changes the total.

5. Platform differences. Sometimes you’ll see lower prices through special partnerships (for example, AMEX cardholder deals). We can’t promise to match every promotion, but we focus on value, transparency, and perks you won’t always find elsewhere.

Our role isn’t to promise the lowest sticker price—it’s to ensure you get the best experience and value overall, with accommodations that fit your trip perfectly and support you from the moment you book through your time in Japan.

A $100 research fee per destination is required to begin curating your ideal accommodations. This fee is non-refundable and covers the time and expertise we invest in research and booking management, including calls to hotels regarding meal plans, bed arrangements, and other details.

It also allows us to leverage our local knowledge and partnerships, giving you access to Japan’s most distinctive properties—often with added perks and amenities.

In the rare case that a property is outside our network, we can still secure the booking for you, in which case a 12% booking fee may apply in lieu of the commission we would normally receive from the hotel or host.

Optional Tours & Additional Services

Yutori’s private walking tours can be added to this plan as an additional service —please see our Guided Tours section for details. We can also assist with ticket procurement for long distance transport, activities or experiences, some of which may incur a booking fee.
